PonderOn builds tools to help customers plan and coordinate events and personal projects. We believe that respect for privacy is a fundamental right and that your ability to control and understand how your data is used is essential. This Privacy Policy explains how PonderOn collects, uses, shares and protects your personal data, as well as the choices you have about your information. It is based on relevant insights, such as the principles described in PonderOn's July 30, 2025, Privacy Policy and current global privacy frameworks.

What Is Personal Data?

We define personal data broadly as any information that identifies you or could reasonably be used to identify you either directly (for example, your name or email address) or indirectly through other information such as device identifiers. Aggregated or de-identified data that cannot reasonably be linked back to an individual is treated as non-personal data. Your Privacy Rights at PonderOn We respect and support your rights with respect to your personal data:

  • Right to Know and Access: You have the right to know what personal data we collect and how it is used. You may request access to your personal data maintained by PonderOn.

  • Right to Correct: If your personal data is inaccurate or incomplete, you may request that we correct or update it.

  • Right to Delete: You may ask us to delete your data where appropriate. We may need to retain certain information, for example, to comply with legal obligations or resolve disputes.

  • Right to Restrict or Object to Processing: You can request that we limit how we use and share your personal data in certain circumstances.

  • Right to Withdraw Consent: When consent is the lawful basis for processing, you may withdraw it at any time without affecting the processing that has already occurred.

  • Non-Discrimination: If you exercise your privacy rights, we will not discriminate against you in any way.

You can exercise these rights through the privacy dashboard on your PonderOn account or by contacting our privacy office (see Privacy Questions below). To protect your data, we may ask you to verify your identity before processing your request.

Personal Data PonderOn Collects

We collect personal data as needed to provide our services, meet our legal obligations, and improve our offerings. The information we gather depends on how you interact with PonderOn. PonderOn attempts to collect only the personal data necessary to fulfill a specific purpose.

Examples include:
  • Account Information: Details about your PonderOn account, such as your name, email address, username, password, device identifiers, language preferences and account status.

  • Contact Information: When you contact us or participate in events, we collect your communication details (email address, postal address, phone number).

  • Payment and Billing Information: If you make purchases on PonderOn (e.g. for event services, premium subscriptions or merchandise), we collect billing and payment data such as credit/debit card details and billing addresses.

  • Usage Data: Information about how you interact with our services—such as the events you create or attend, app or website pages you view, search queries, device and browser type, IP address, and diagnostic logs—helps us improve our services.

  • Location Data: If you enable location features, we may collect your device’s precise or general location to support functionality such as suggesting venues or itineraries and improving event recommendations.

  • Health or Special Category Data: PonderOn may allow you to record optional health or accessibility preferences (e.g. dietary requirements, accessibility needs) to tailor event experiences. We treat such data as sensitive and will only collect or process it with your explicit permission.

  • Children’s Data: PonderOn does not knowingly collect personal data from children under 13 (or the age required by local law). If we discover that a child has provided us with personal data without the necessary parental consent, we will take steps to delete the information.

  • Other Information: We collect any other information you choose to provide (for example, photographs, messages, feedback, or preferences).

You are not required to provide all of the personal data listed above. However, if you choose not to provide certain information, some of our services may not be available or may not function as intended.

Personal Data from Other Sources

PonderOn may also receive personal data about you from other sources, including:

  • Other Individuals: If someone invites you to an event on PonderOn, they may share your email address or other contact details so we can send the invitation. Similarly, if someone shares content with you on PonderOn or mentions you in comments or posts, we will receive that information.

  • Third-Party Services: If you connect PonderOn with other services (for example, linking a Google Calendar, social media account or payments provider), you authorize those services to share certain data with us. This may include contact information, account information, or other details needed to provide seamless functionality.

  • Partners: We may receive information from companies that partner with us to provide our services—such as venue booking platforms, payment processors, or logistics providers—and use it to verify your account details and ensure service quality and security.

  • Publicly Available or Licensed Sources: We may collect publicly available data or licensed data (such as city/state directories or social media posts) to improve our offerings and ensure up-to-date contact information. When using such datasets for research or development, we comply with applicable law and do not attempt to identify individuals, consistent with established privacy frameworks.

How PonderOn Uses Personal Data

We use your personal data to provide, maintain and improve our services and to communicate with you. We only process personal data when we have a lawful basis— such as your consent, to fulfill a contract, to protect your vital interests or those of others, or to comply with legal obligations.

Our uses include:

  • Providing and Improving Services: We use your personal data to authenticate your account; facilitate event planning and coordination; tailor recommendations and content; analyze usage and performance; and develop new features or improve existing ones.

  • Processing Transactions: To process payments or purchases, we must collect information such as your name, payment method, billing address and details about the transaction.

  • Communications: We use your data to respond to your inquiries, provide updates about your events and account, send confirmations or alerts, conduct surveys and send marketing communications (which you can opt out of at any time). However, we may still send important notifications regarding changes to our services, terms or policies.

  • Security and Fraud Prevention: We use personal data to protect our users, partners and PonderOn from fraud, unauthorized access and illegal activities, and to ensure network and service security.

  • Personalization: If you choose to allow personalized content (such as recommended events or topics), we use your data to tailor the experience. You can control personalization settings in your account preferences.

  • Legal Compliance: We process personal data to comply with applicable laws, regulations, tax obligations or law enforcement requests.

  • No Automated Decision-Making: We do not use automated algorithms or profiling to make decisions that significantly affect you without human review. We retain personal data only as long as necessary to fulfill these purposes or as required by law.



Sharing and Disclosure of Personal Data 

We may share personal data under limited circumstances: 

  • PonderOn Affiliates and Service Providers: We work with affiliates and trusted service providers (such as hosting providers, data analytics, payment processors, communication services and consultants) to operate our services. These third parties may access your personal data only to perform tasks on our behalf and must protect your data in compliance with this Policy.  

  • Partners: PonderOn may collaborate with venues, ticketing platforms, marketing or analytics partners. They are required to safeguard your personal data and may only use it for the agreed-upon purpose. 

  • Other Event Participants: When you create or attend an event via PonderOn, certain information (such as your name and participation status) may be shared with other attendees to facilitate coordination. You can control what information is shown to others via privacy settings. 

  • Legal and Safety Compliance: We may disclose information if required by law or if we believe disclosure is necessary to protect against fraud, enforce our policies or protect our rights, our users or the public. If PonderOn is involved in a merger, acquisition or asset sale, your personal data may be transferred as part of that transaction. 

PonderOn does not sell your personal data (as “sale” is defined by applicable law) and does not share your personal data with third parties for their own marketing purposes.  

Protection of Your Data 

We use administrative, technical and physical safeguards to protect your personal data from unauthorized access, loss or misuse. These measures include encryption, access controls, secure network architecture and regular security training. We continually review and enhance these protections as threats evolve.  

Children’s Privacy 

PonderOn is intended for use by individuals who are at least 13 years of age (or the equivalent minimum age in your jurisdiction). If you are the parent or guardian of a child under 13 who has provided personal data to PonderOn without your consent, please contact us so we can take appropriate action. 

Cookies and Similar Technologies 

Our websites and services may use cookies, pixels, and similar technologies to enhance your experience, enable certain functions, and understand how users interact with our services. This may include: 

  • Strictly Necessary Cookies: Necessary for site functionality, such as enabling user login and remembering items in your event plan. 

  • Performance and Analytics Cookies: Help us measure and improve site performance and the effectiveness of our communications. 

  • Preference and Personalization Cookies: Remember your preferences and tailor content to your interests. 

  • Communications Cookies: Used to route network traffic and detect technical issues. 

If you prefer not to enable cookies, most browsers offer an option to manage or disable them. Note that some features of our services may not function properly without cookies. Where IP addresses or similar identifiers are considered personal data by local law, we treat them as personal data and process accordingly.  

International Data Transfers 

PonderOn provides services to users around the world. Consequently, your personal data may be transferred to or accessed by entities in countries outside your own. We comply with applicable laws regarding cross-border data transfers. The PonderOn entity responsible for your personal data may vary depending on your location. When we transfer personal data internationally, we rely on lawful mechanisms, such as adequate country determinations, Standard Contractual Clauses, or other suitable safeguards. Regardless of where your data is processed or stored, we maintain protections consistent with this Policy and all applicable laws.  

Protecting Your Data at PonderOn 

PonderOn is committed to a company-wide culture of privacy. We periodically train our employees on privacy and security best practices and ensure that access to personal data is strictly controlled.

We will acknowledge your complaint within seven days and strive to resolve your inquiry promptly. If you remain unsatisfied with our response, you may contact your local data protection authority. We also welcome feedback and will use it to improve our privacy practices whenever possible.

PonderOn may update this Privacy Policy from time to time to reflect changes in our practices, legal requirements, or technology. When we make material changes, we will post a prominent notice on our website and notify you directly, if appropriate. We encourage you to periodically review this Policy to stay informed about how we protect your personal data.
